The Signature Details · Planning & coordination

Somebody has to hold the whole day together.

Full-service planning, partial planning and month-of coordination for eastern Virginia weddings. We build the timeline, manage your vendors, run the rehearsal and quietly solve the things you were never meant to notice.

The premise

You should be a guest at your own wedding

By the time the day arrives you have made several hundred decisions. What you need is not another opinion — it is someone whose entire job is making sure the decisions you already made actually happen, on time, in the right order.

Part of that job is knowing the questions to ask that you would never think of unless you plan weddings and events every weekend — who is unlocking the building, where the caterer plugs in, who takes the leftover cake home, what happens to the gifts at midnight. Those are the answers that decide whether a day feels effortless or improvised.

1

Discovery

A conversation about the day you want, the family dynamics you are working around, and where you are already stuck. We are honest about which package you actually need.

2

Build

The timeline. Vendor confirmations, arrival windows, delivery slots, meal times, formalities, sunset, exit. Everyone gets the same document and everyone gets it early.

3

Rehearsal

Processional order, pacing, positions, readers, ushers and the moment nobody ever rehearses: what to do once you reach the end of the aisle.

4

Show day

On site from load-in. We direct the setup, keep the timeline, absorb the problems and hand you a day that runs itself.

How we work

Three ways in

Every couple arrives at a different point. These are starting shapes, not fixed boxes — the scope is written to your day. Even our smallest package begins 90 days before the wedding, because nobody can learn everything they need to know, close out the remaining decisions and build a timeline that actually holds in under thirty days. We would rather start early than hand you a day that was assembled in a hurry.

01

Full-service planning

Starts at$7,995

For couples who want a planner from the beginning. Budget structure, vendor sourcing and contracts, design direction, guest logistics and decision deadlines all the way through to complete management of the day — one person accountable from engagement to last dance.

02

Partial planning — or day-one coordination

Starts at$3,995

For couples who want a professional walking them through the planning from the day they sign the contract. You do not have to be stuck to want that. We come in with vendor recommendations, budget structure, design direction and decision deadlines, then carry it through to full on-site management of the wedding day.

03

Month-of coordination

Starts at$2,495

For couples who have booked everything and want a professional to take it from here. We begin 90 days out: vendor handover, full timeline build, rehearsal direction and complete on-site management.

Credentials

Certified Professional Wedding Planner

Planning at The Signature Details is led by a Certified Professional Wedding Planner, credentialed through Wedding MBA. That means the person building your timeline has been trained on the unglamorous half of the job — contracts, vendor management, liability, logistics and contingency planning — not just the part that photographs well.

Fully licensed and insured, with certificates provided to your venue on request.

On the day

What we are actually doing while you get ready

Directing setup against a floor plan. Meeting the florist at the loading door. Checking the ceremony chair count. Confirming the caterer’s meal timing against the toasts. Pinning boutonnieres. Finding the marriage license. Holding the rings.

Also: quietly rewriting the timeline when the photographer runs long, and telling exactly three people about it.

Welcome table with signage and framed photographs

The details

The small things guests remember

Welcome tables and signage. Escort cards and seating charts. Memory tables for the people who could not be there. Favor setups. Guest book stations. Candles lit just before the doors open. The place cards nobody wants to be laying out the night before their own wedding.

We place them, straighten them, light them properly and take them down again at the end of the night.

In their words

What couples say about the coordination

Common questions

Planning questions, answered plainly

What is the difference between a planner and a coordinator?
A planner helps you make decisions and build the wedding from scratch. A coordinator takes the wedding you have already built and runs it. We offer both, plus partial planning in between — full-service for couples who want a planner from the beginning, partial planning (we also call it day-one coordination) for couples who want guidance through the process from the day they sign, and month-of coordination for couples who have booked everything and want it run properly.
What is month-of coordination, and is it what we would call day-of?
It is the same job, done properly. Nobody can walk into a wedding on the morning of and run it well, so what most couples have in mind is our month-of coordination, and it begins 90 days before the wedding. We take over vendor communication, build and circulate the timeline, confirm arrival windows and deliveries, run the rehearsal, and then manage the day itself from load-in to last dance.
Our venue has a coordinator. Do we still need you?
Often, yes — and we work with them happily. A venue coordinator represents the venue: the building, its staff, its rules. We represent you: your vendors, your timeline, your family and the hundred small decisions nobody else has been briefed on.
Do you handle the rehearsal?
Yes. We run the rehearsal, place your party, set the processional order and pacing, brief readers and ushers, and make sure the people walking down the aisle know what happens when they get to the end of it.
Can you help with design and styling?
We help with the layout, the flow and the details that make the day feel considered — welcome tables, signage placement, memory tables, favor and escort card setups. For full floral and set design we bring in specialist partners.
Do we have to book the other brands too?
No. The Signature Details is hired on its own regularly, including by couples who have built their vendor team entirely elsewhere. Booking within the group simply removes a few handoffs.

We take a limited number of weddings per season so that nobody is sharing their coordinator. Reach out early.
